Best AI Phone System for Small Business: 8 Compared (2026)

Key Takeaways

  • •The phrase covers two products. NextPhone is AI that answers your calls. RingCentral, Dialpad, Quo, Nextiva, Zoom Phone, Aircall and CloudTalk are phone systems with per-seat pricing, and each sells AI answering on top.
  • •If the goal is answered calls, our pick is NextPhone: from $199/month, flat, unlimited inbound calls, on the number you already have. It is an AI receptionist, not a multi-seat desk phone system.
  • •Buy a full phone system if several people need their own line, you want desk phones or you need a toll-free number. The two also run together: seats on the phone system, NextPhone answering the main line.
  • •Worked bill for 3 seats and 100 AI-answered calls a month: $118 to $199 on the phone systems where the page lets you compute it, $244 for NextPhone plus the cheapest seats. At 300 calls: $195.50 to $499, against the same $244.
  • •Disclosure: NextPhone is our product. Prices and features here were read from each vendor's own pages. We ran no live call tests for this page, so the test section is yours to run.

Best AI Phone System for Small Business: 8 Compared (2026)

NextPhone AI Receptionist

Answer every call, book appointments, 24/7.

Phone system prices read on each vendor's own pricing page on November 4, 2026. RingCentral AI Receptionist's rate comes from our Price Index, last read November 2, 2026. Confirm before you buy.

The best AI phone system depends on which of two products you mean. If you want AI that answers your calls on the phone you already have, our pick is NextPhone: from $199/month, flat, with unlimited inbound calls. If you want a phone line for each person with AI features built in, look at Quo for a small team, RingCentral for the broadest suite, or Zoom Phone if your team already lives in Zoom.

Disclosure: NextPhone is our product, and we put it first. We publish the arithmetic and the method so you can check our work and discount our bias.

Two products share this name

Search this phrase and the results rank two different things against each other. We read three of the lists ranking for it on November 4, 2026. All three put both products in one list, and none works out a monthly bill.

A phone system with AI features. You pay per person. Each person gets a number or extension, an app, usually desk phone support, and tools such as call summaries and transcripts. Someone on your team still picks up. AI that answers the phone is almost always a separate charge on top of the seat.

AI that answers the calls. You pay for the answering, not for people. The AI picks up, talks to the caller, books the appointment, transfers the call or takes a message. It usually sits behind whatever number you already use.

One question sorts you. Is your problem that your team lacks phone tools, or that callers reach voicemail?

If people are at their desks and need a better way to call out, transfer between each other and share a number, you want the first. If you're on a job site or in court when the phone rings, a new phone system still rings a phone nobody can answer. You want the second.

For what this technology does on a call, see our conversational AI phone guide. For the business case, see AI phone system benefits. This page is about which one to buy.

What a month actually costs

Seat prices tell you little, because the AI meter is where bills move. Here is the same small business on every option: 3 people who need phones, annual billing where the page shows it, calls averaging 3 minutes.

Setup100 AI-answered calls (300 minutes)300 AI-answered calls (900 minutes)
NextPhone Pro plus 3 of the cheapest seats listed here3 × $15 = $45, plus $199 = $244$244, unchanged
RingCentral Core plus AI add-on3 × $20 = $60, plus $39, plus 200 extra minutes at $0.50 a minute ($100) = $199$60 + $39 + 800 extra minutes ($400) = $499
Dialpad Connect Standard3 × $15 = $45, plus AI agents by quote: not computableNot computable
Quo Business plus Sona3 × $23 = $69, plus $49 = $118$69 + $99 + 50 extra calls at $0.55 ($27.50) = $195.50
Nextiva NEXT Core plus XBert3 × $15 = $45, plus $99 = $144$45 + $99 + 200 extra at $1.50 ($300) = $444
Zoom Phone plus Receptionist3 × $16 = $48, plus 300 × $0.30 ($90) = $138$48 + 900 × $0.30 ($270) = $318
Aircall Essentials plus AI Voice Agent3 × $30 = $90, plus the $99 minimum = $189$90 + 850 × $0.29 ($246.50) = $336.50
CloudTalk plus AI agent3 × $25 = $75, plus $99 = from $174, which covers only 200 minutes$75 + $349 for 1,000 minutes = $424

Chart of a 3-seat bill at 100 and 300 AI-answered calls a month. NextPhone plus seats stays at $244. Quo moves from $118 to $195.50, Zoom Phone $138 to $318, Aircall $189 to $336.50, CloudTalk from $174 to $424, Nextiva $144 to $444, RingCentral $199 to $499

Four notes on that table:

  • NextPhone is the most expensive computable row at 100 calls. If 3 people need seats and your call volume is steady and modest, a bundled option costs less.
  • At 300 calls, of the rows we can compute, only Quo beats it. Quo Business plus Sona stays under $244 up to about 390 calls a month, because it charges per call rather than per minute. Past that, the flat price wins.
  • We priced Quo on Business because its page lists call transfers above Starter. On Starter, 3 seats plus Sona at 100 calls is $45 + $49 = $94, without transfers.
  • Some of these figures could move. RingCentral rounds call time up in 30-second increments and sells minute bundles that can lower the overage, and its AI page pairs the add-on with Core at the $30 monthly rate, which would add $30 here. Nextiva counts a call once it passes 30 seconds. Zoom lists $0.30 a minute on zoom.us and $0.25 on annual billing on zoom.com, and we used $0.30. Aircall's page does not explain how its $99 minimum interacts with the included minutes, so we used the higher figure.

If you don't need seats at all, the top row is just $199. Team members are unlimited on every NextPhone plan.

Your number. Every plan includes a local US or Canadian number. Or keep yours and forward it, for every call or only when you're busy or don't pick up, so your phone rings first and the AI catches the rest. Our forwarding guide covers 90+ carriers and phone systems, including all seven below. Or port your number in for good.

Your other tools. CRM updates start on the $299 Growth plan: Clio, HubSpot, MyCase, GoHighLevel and Jobber directly, plus 8,000+ other apps through Zapier, Make and webhooks. Our team also builds and tests your agent on Growth. Current tiers are on the pricing page.

Calling out. Calling out and two-way texting from your business number are on the Scale plan, through the iOS app and a Messages inbox. Every plan can call back people who called you from the app.

The seven phone systems

Features here come from each vendor's own pages, not from our testing. The "best for" labels are our read of those pages.

RingCentral

Best for a team that wants one broad suite and room to grow. RingEX runs Core $20, Advanced $25, Ultra $35 per user on annual billing. Its AI Receptionist page lists booking and rescheduling, routing by name or department and six languages, and says it can sit on top of another phone system. Texts are capped per user (25 a month on Core), so check that if your team texts a lot.

RingCentral's RingEX plan comparison from August 2026, with AI Receptionist carrying an Add-on badge on every plan

Dialpad

Best for teams that want AI on the calls their people take. Connect Standard at $15 includes real-time transcripts and instant call summaries with no add-on. Its AI receptionist can check availability and book, but it is sold through conversation-based credits with no published price, so you'll need a quote. Sales and contact center products are separate, from $39 and $89 per user.

Quo (formerly OpenPhone)

Best for a small team sharing numbers and texting customers. Its Sona agent has the lowest metered price per call we read, and you can cap usage. The page says Sona answers questions, captures messages, transfers calls and texts a scheduling link during the call. It does not say Sona books appointments directly, so ask. Messaging needs carrier registration: $19.50 once plus $1.50 to $3 a month.

Nextiva

Best for a business that wants phones and AI from one vendor on a simple price. XBert answers calls, texts and chats, books appointments, and transfers with context. The cheapest seat price requires a 12-month term. One page line says "unlimited calls" next to a 100-interaction package, so get the overage terms in writing.

Zoom Phone

Best for teams already on Zoom. Its Receptionist books into Google Calendar, Outlook and Zoom Scheduler, and the standalone version has the lowest standalone price we read. SMS and warm transfers are listed only with the Zoom Phone version, and the standalone page lists no per-minute overage rate. Calling outside the US and Canada is metered.

Aircall

Best for sales and support teams who live in a CRM. Three licenses is the minimum on Essentials and Professional, so a solo owner starts at $90 a month. The AI Voice Agent can run without an Aircall phone system. Bundles such as 1,000 minutes for $250 cut the rate, but carry an annual commitment.

CloudTalk

Best for sales and support teams that call across borders: its page lists local numbers in 160+ countries. Its AI agents answer, book into your calendar and transfer with context, and the trial includes 50 AI minutes. The pricing page shows plan prices in euros by default (€25 annual on Starter) and its AI page says $25, so confirm your currency. Customers billed in the US also pay an 11% cost recovery fee on the software subscription.

NextPhone AI Receptionist

Answer every call, book appointments, 24/7.

Which one is right for your business

  • You answer your own phone and you're often on a job or with a client. NextPhone Pro. Keep your number, stay on the work, and only the calls that matter reach you. You don't need seats for one person.
  • You have a receptionist who is covered in hours but stretched. NextPhone as the back-up. Forward only when the line is busy, unanswered or closed. Your receptionist stays on the calls they take now, and after-hours callers stop reaching voicemail.
  • You want AI but aren't sure it fits. Start with the same conditional forwarding on any of the AI options, so it only takes calls you would have missed. Listen to the recordings for a week before you widen it. NextPhone has a 7-day free trial.
  • Your calls feed a CRM. NextPhone Growth at $299. Clio for law firms and Jobber for contractors connect directly, and 8,000+ other apps connect through Zapier.
  • Five or more people each need their own line, or you want desk phones. Buy a phone system. RingCentral, Nextiva and Zoom Phone are the shortlist. Add AI answering only if missed calls are costing you work.
  • A small team shares one number and texts customers all day. Quo. See how it compares in our Quo alternatives post.
  • Your team calls out all day. Aircall, CloudTalk or Dialpad's sales product. That is what they are built for, and answering is the smaller part of the job.
  • You already pay for one of these. Turn on its AI add-on and run the test below before you buy anything else. If it passes on your real calls, you're done. If you're leaving, our RingCentral alternatives guide prices the switch.

Running a phone system and NextPhone together

You don't have to pick one. Keep the seats, so your people still have lines, an app and internal transfers. Point the main number at NextPhone, either for all calls or only when nobody picks up. The AI answers, books and sends each caller to the right person's direct number.

Two details about forwarded lines:

  • Some phone systems, RingCentral and Dialpad among them, ask whoever answers a forwarded call to press 1 before connecting. Your NextPhone agent presses the key the prompt names, and the call goes through.
  • On RingCentral, use incoming call rules to forward rather than adding your NextPhone number to a call queue, because queue calls always ask for that press. Our forwarding guide has the steps for each system.

For the difference between the phone-system options themselves, see our VoIP guide for small business.

How to test any vendor yourself

Every vendor demo is its best call. Use a trial or a low-commitment first month and do this in an afternoon, on your real number if you can.

  1. Call it the way your customers do. Book an appointment, ask a price question, ask for something you don't offer. Call from a car and talk over the greeting.
  2. Check that the booking exists. Open the calendar. A polite call that left nothing behind is a failed call.
  3. Check the details it captured. Name spelling, callback number, address. Read the transcript against what you said.
  4. Force a transfer, then make it fail. Ask for a person. Then repeat with that person not answering. Find out where the caller ends up.
  5. Test the forwarding path. Forward from your actual carrier or phone system, not a test number, and see whether a press-1 prompt blocks the call.
  6. Ring it twice at once. Call from two phones at the same time. Then call at 9 pm on a Sunday.
  7. Price your busiest month. Take your highest call count from last year, multiply by your average call length, and ask the vendor to write down that bill. Include taxes, registration fees and any minimum term.

If you are also moving phone systems, add one more: ask what happens to your number when you leave, and test the porting process before you depend on it. For a stricter scorecard, see the accuracy test in our best AI receptionist comparison.

How we compared (and our conflict of interest)

NextPhone is our product. We build it, we profit if you buy it, and we ranked it first. Weigh everything above with that in mind.

What we did. On November 4, 2026 we read each vendor's own pages: ringcentral.com/office/plansandpricing.html and ringcentral.com/pricing/ai-receptionist.html, dialpad.com/pricing and dialpad.com/solutions/ai-receptionist, quo.com/pricing and quo.com/sona, nextiva.com/nextiva-pricing and nextiva.com/products/ai-receptionist, zoom.us/pricing/zoom-phone and zoom.us/pricing/receptionist, aircall.io/pricing, cloudtalk.io/pricing and cloudtalk.io/ai-voice-agents. The vendor set comes from what appears in the lists ranking for this search. We also opened those lists to see how they treat the two products.

What we did not do. We ran no live calls on any of these products for this page, and we don't report a customer switch. Feature statements are what each vendor's page says, not what we confirmed on a call. Where a page was unclear or contradicted itself, we said so or chose the higher figure. Our own product's details come from our pricing page and FAQ.

Your numbers will differ from the worked bills, so run your own. More vendors sit in our full price index.

Frequently Asked Questions

What is the best AI phone system for a small business?

It depends on which product you need. For AI that answers your calls on your existing number, our pick is NextPhone, from $199/month, flat, with unlimited inbound calls. For a phone line per person with AI features, Quo suits small teams, RingCentral is the broadest suite, and Zoom Phone fits teams already on Zoom. NextPhone is our own product, so check the arithmetic above.

What is the difference between an AI phone system and an AI receptionist?

An AI phone system usually means a per-seat business phone service with AI features such as call summaries and transcripts, where your team still answers the calls. An AI receptionist answers the calls itself: it talks to the caller, books, transfers or takes a message. Most phone systems now sell AI answering as an add-on billed by the minute, call or conversation.

Is NextPhone a phone system?

NextPhone is an AI receptionist, not a multi-seat desk phone system. It can be your business number, or it can sit behind your current number through call forwarding, and every plan includes a local US or Canadian number. Teams that want desk phones can keep a phone system alongside it.

Do I have to replace my current phone system?

No. You can forward your current line to NextPhone for every call, or only when you're busy or don't pick up. Our forwarding guide covers 90+ carriers and phone systems, including RingCentral, Dialpad, Quo, Nextiva, Zoom Phone, Aircall and CloudTalk. RingCentral, Zoom and Aircall also sell AI answering that works without their phone system.

Can NextPhone make outbound calls?

Yes, on the Scale plan: you and your team can call from your business number in the NextPhone iOS app and text customers from a Messages inbox. On every plan, NextPhone answers inbound calls and texts callers, and you can call back people who called you from the app.

How much does an AI phone system cost?

Per-seat phone systems we read start at $15 to $30 per user per month on annual billing, with AI answering on top: $0.29 to $0.50 a minute on minute-based add-ons, or $0.45 to $1.50 a call or conversation on per-call ones, and Dialpad by quote. NextPhone is from $199/month, flat, with no seat fee. For 3 seats and 100 AI-answered calls, computable bills ran from $118 to $244 on November 4, 2026.

What is the cheapest AI phone system?

At very low volume, on pages read November 4, 2026: Quo Starter at $15 a seat on annual billing includes 10 Sona calls a month, and Zoom's standalone Receptionist is $25 a month on annual billing for 100 minutes. Quo's Sona had the lowest metered price per call. NextPhone's case is that the bill stays the same in your busiest month.

The bottom line

Decide what you're fixing first. If your team needs phone tools, buy a phone system and judge its AI add-on on your own calls. If callers are reaching voicemail, buy the thing that answers them, and keep your phone system if you still need it.

If that second one is you, see NextPhone's plans and what each includes. Plans start from $199 a month, flat, and you can forward only your missed calls for the 7-day trial, then decide from the recordings.
