HubSpot + NextPhone: the caller is already in your CRM before you call back

NextPhone answers every call, runs your intake, then finds the caller in HubSpot by phone number — or creates them — and writes the intake answers onto their contact record with the summary, transcript and recording attached.

NextPhone integration with HubSpot

Overview

Features:Match callers by phoneCreate contactsMap intake to propertiesAssign an owner

HubSpot is where the follow-up happens — the contact record, the lifecycle stage, the sequences, the reporting. The gap is that phone calls historically arrive there as a note somebody types afterwards, if they type it at all. NextPhone answers the call, runs the intake you define, and writes the result into HubSpot as structured data: the caller matched by phone or created new, your intake answers mapped onto real contact properties, an owner assigned, and the summary, transcript and recording attached. What lands is a contact your team can filter, report on and sequence, not a voicemail nobody logged.

How it works

Someone calls at 7pm. NextPhone answers, asks what you ask, and captures their details. It searches HubSpot by phone number — if they are already a contact, that record gets the new call and the fresh answers; if not, a contact is created. Your intake answers land on the properties your team already filters by, the owner is set, and the summary, transcript and recording are attached. By the time anyone opens HubSpot in the morning, the lead is there with the full conversation on it and the right person owns it.

Capabilities

  • Find the caller before creating anyone - searches HubSpot by phone number first, so a returning customer updates the contact you already have instead of becoming a duplicate
  • Create the contact when they are new - first name, last name, phone and email captured on the call, written straight to HubSpot
  • Your intake answers become contact properties - the questions you ask on the call map onto the HubSpot fields you already use, so the answers are filterable and reportable rather than buried in a note
  • Set any property you want on every call - lifecycle stage, lead status, source — whatever your team filters on, set automatically so calls land in the right view
  • Assign the right owner - the contact arrives owned by the person who should follow up, not sitting unassigned
  • The whole conversation comes with it - call summary, full transcript and the recording, so whoever picks it up has the first conversation rather than a callback number
  • Know which ad drove the call - every synced call carries the ad channel that produced it, set as the contact source, so you can see which campaigns generate real conversations
  • Choose which calls sync - send everything, or only new leads and booked appointments, so spam and wrong numbers never reach your CRM

Why intake answers on properties beats intake answers in a note

Most call integrations dump a summary into a note field. That is fine for reading one record and useless for everything else — you cannot build a list from it, filter by it, trigger a workflow on it, or report on it.

Mapping the answers onto real HubSpot properties instead means the call becomes data. Filter every caller who mentioned a specific service, trigger a sequence when a certain answer comes back, report on which questions correlate with closed deals. The note is still there for reading; the properties are what make it useful.

Returning callers update, they do not duplicate

The AI searches HubSpot by phone number before it creates anything, with a looser fallback if the exact format does not match. A customer who called in March and calls again in August lands on the same record.

That matters more than it sounds. Duplicate contacts break lifecycle reporting, split a customer history across two records, and mean your team calls back with only half the story.

Frequently asked questions

Does it create duplicate contacts for repeat callers?

No. It searches HubSpot by phone number first and updates the existing contact when it finds one. A new record is only created when the caller genuinely is new.

Can the intake answers go on our own custom properties?

Yes. The questions you ask on the call map onto the HubSpot properties your team already uses, including custom ones, so the answers are filterable and reportable rather than sitting in a note.

Do spam calls end up in our CRM?

Only if you want them to. You choose which call outcomes sync — send every call, or restrict it to new leads and booked appointments so wrong numbers and sales calls never reach HubSpot.

Who owns the contact when it arrives?

Whoever you set. The contact is created with an owner assigned so it lands in the right person's queue rather than sitting unassigned.

Do we get the recording and the transcript?

Both, along with a call summary, attached to the contact. Whoever follows up reads the actual first conversation.
