NextPhone integration with Calendly

Overview

Features:Read live availabilityOffer open timesBook on the callSend confirmation

Calendly removed the back-and-forth from scheduling, as long as someone is willing to click a link. The people who ring instead of clicking — and for most firms that is the ones who want to talk to a human — still end up in voicemail or holding for a callback. NextPhone answers those calls, reads your real Calendly availability while the conversation is happening, offers the caller genuine open times, and books the appointment before they hang up. Your buffers, minimum notice and daily limits all still apply, because the booking goes through Calendly rather than around it.

How it works

The phone rings at 6:40pm. NextPhone answers, works out what the caller needs, and asks the questions you would ask. Then it checks your Calendly for real open slots and says: Tuesday at 10, Tuesday at 2, or Wednesday at 9. The caller picks one and it is booked. Calendly sends the confirmation and the reminders exactly as it would from your booking page. The next morning the appointment is simply on your calendar, with the intake attached.

Capabilities

  • Reads your actual availability - checks the real open slots on your Calendly event type during the call, so the AI never offers a time you cannot do
  • Offers times out loud - the caller hears two or three genuine options and picks one, the way they would with a receptionist
  • Books before they hang up - the appointment is created on the call — the caller is scheduled, not holding a link they might never open
  • Handles more than one event type - a consultation, a callback and a site visit can all be bookable, and the AI picks the right one from what the caller needs
  • Respects your buffers and notice - the minimum notice, buffers and daily limits you already set in Calendly are honored, because the AI is booking through Calendly rather than around it
  • Confirmation goes out automatically - Calendly sends its normal confirmation and reminders, so the caller gets the same emails they would from your booking page

A booking link only works on people who click it

Sending a link after the call assumes the caller will open it, choose a time, and complete it. Plenty do. The ones who do not are the ones who called precisely because they wanted to sort it out by talking to somebody.

Booking on the call closes that gap. The caller is scheduled while they still have you on the phone and while they still care about the problem that made them ring.

It books through Calendly, not around it

Everything you configured stays true. Minimum notice, buffers between meetings, daily caps, your working hours, the event types you have set up — the AI is reading and writing through Calendly, so it cannot book something Calendly would not allow.

That also means the appointment behaves normally afterwards. Reschedules, cancellations and reminders all work the way they always have.

Frequently asked questions

Does it actually book, or does it just send a link?

It books. The AI reads your real availability during the call and creates the appointment before the caller hangs up.

What if we have several event types?

All of them can be bookable. The AI picks the right one from what the caller describes — a consultation, a callback or a site visit are different bookings and get treated that way.

Will it respect our buffers and minimum notice?

Yes. The booking goes through Calendly, so every rule you set there still applies. The AI cannot offer a slot Calendly would refuse.

Does the caller still get a confirmation email?

Yes — Calendly sends its usual confirmation and reminders, the same as if the caller had booked from your page themselves.

What happens if nothing suitable is open?

The AI takes the intake, captures what the caller needs and when they are free, and hands it to you to follow up rather than forcing a bad time.
