NextPhone integration with Acuity Scheduling

Overview

Features:Read live availabilityPick the right typeBook on the callRespect your rules

Acuity handles appointment types, padding, notice periods and reminders properly, which is why service businesses use it. What it cannot do is answer a phone call. NextPhone does that, reads your live Acuity availability while the caller is talking, works out which appointment type they need, and books it — with every scheduling rule you configured still applying.

How it works

Someone calls at 8pm wanting a consultation. NextPhone answers, works out which service they need, checks Acuity for genuine openings on that appointment type, and offers three. They choose one and it is booked. Acuity sends the confirmation and reminders exactly as it would from your booking page.

Capabilities

  • Checks your genuine availability - the AI reads real Acuity openings rather than guessing
  • Picks the right appointment type - a consultation, a follow-up and an assessment are different lengths and different bookings
  • Books during the conversation - no link, no follow-up, no drop-off
  • Respects your scheduling rules - padding, minimum notice and daily limits all still apply because it books through Acuity
  • Handles multiple calendars - the booking goes to whoever should take it
  • Confirmations go out as usual - Acuity sends its normal confirmation and reminders

Booking through Acuity rather than around it

Every rule you set — padding between appointments, minimum notice, how many you will take in a day — exists for a reason, usually a bad experience.

Because the AI books through Acuity rather than writing to a calendar directly, none of those rules can be bypassed. It cannot create something Acuity would refuse.

Frequently asked questions

Does it choose the right appointment type?

Yes — it works out which service the caller needs and books that type.

Will it respect padding and notice rules?

Yes. It books through Acuity, so every rule you set still applies.

Does the caller get a confirmation?

Yes, Acuity sends its usual confirmation and reminders.

What if nothing suitable is free?

The AI takes the details and what times suit them, and hands it to you rather than forcing a bad slot.
