Capsule + NextPhone: every call lands in Capsule on its own
NextPhone answers every call, asks your questions, then finds the caller in Capsule by phone number, or adds them, and logs the call in their history with the summary, the answers and the recording. New leads can open an opportunity in your pipeline.

NextPhone integration with Capsule
Overview
Capsule is the CRM small teams pick because it stays out of the way: people, a pipeline, tasks, and nothing you have to learn. What it cannot do on its own is answer the phone, and a call nobody answered never makes it into the CRM. NextPhone answers those calls, asks what you would ask, and puts the result in Capsule: the caller matched by phone or added as a new person, the conversation logged in their history, and new leads waiting in your pipeline.
How it works
Someone calls at 7pm about a quote. NextPhone answers, asks your questions and takes their details. It looks them up in Capsule by phone number: if they are already there, the call goes on their record; if not, they are added as a new person with their name, number and email. The call summary, their answers and the recording land as a note in their history, and an opportunity opens at the milestone you picked. When you open Capsule in the morning, the lead is in your pipeline with the whole conversation on it.
Capabilities
- Find the caller before adding anyone - looks the caller up in Capsule by phone number, whatever format you saved it in, so a returning customer gets the new call on the record you already have
- Add new callers as people - name, phone number and the email they gave on the call, with spoken emails like "dana at gmail dot com" turned into a real address
- Every call in their history - a note with the call summary, what the call was about, when it happened, how long it lasted, the recording and every answer to your questions
- New leads in your pipeline - pick a pipeline and a milestone, and new leads open an opportunity there, ready to work
- No duplicate opportunities - if the caller already has an open opportunity at that milestone, no second one is opened
- Your records stay yours - names you saved are never overwritten, and an email is only added when the record has none
- Choose which calls go to Capsule - every call, or only new leads and booked appointments, so spam and wrong numbers stay out of your CRM
Returning callers land on the record you already have
Before NextPhone adds anyone to Capsule, it searches by phone number. It matches however the number was saved, with or without the country code, dashes, dots or brackets, so a customer who called in March and calls again in August lands on the same person.
That matters more than it sounds. Duplicate people split a customer history in two, and whoever calls back only sees half the story.
Leads in the pipeline, not just names in a list
A contact on its own is easy to forget. An opportunity at the first milestone of your pipeline is something your team works through.
Turn opportunities on, pick the pipeline and the milestone, and every new lead shows up there. A caller who rings back about the same job does not open a second one: the new call goes in their history, and the opportunity already open stays the one your team works.
Frequently asked questions
Does it create duplicates for repeat callers?
No. NextPhone searches Capsule by phone number first and adds the call to the person you already have. A new person is only created when the caller is genuinely new.
What ends up in Capsule after a call?
The caller as a person with their name, number and email, and a note in their history with the call summary, what the call was about, when it happened, the recording and their answers to your questions. If you turn opportunities on, new leads also open one in your pipeline.
Can new leads go straight into our pipeline?
Yes. Pick the pipeline and the milestone, and new leads open an opportunity there. If that caller already has an open opportunity at that milestone, no second one is opened.
Do spam calls end up in Capsule?
Only if you want them to. You choose which calls go to Capsule: every call, or only new leads and booked appointments.
Will it overwrite names we have already cleaned up?
No. Names you saved in Capsule are never changed, and an email is only added when the person does not have one yet.
